Stack Events - Terms & Conditions

By subscribing to or using Stack Events, you agree to the following legally binding Terms. These Terms govern your access to and use of our platform, tools, and services.
1. Eligibility & Account Requirements
Only individuals who are at least 18 years old may purchase a Stack Events subscription. By subscribing, you agree that you have the legal authority to enter into binding agreements. Students, staff, or other users added under a paid instance do not need to be 18. However, the subscriber is fully responsible for all users and usage within their instance.
2. Billing & Renewals
Each plan clearly states how you're billed (monthly, annually, etc.). By subscribing, you authorize us to charge the listed amount to your payment method on a recurring basis until cancellation. Charges recur automatically unless you cancel before the renewal date.
3. Free Trials
If your plan includes a free trial, you may cancel at any time during the trial to avoid charges. If you do not cancel before the trial ends, the full subscription price will be charged automatically.
4. Cancellation & Refunds
You may cancel your subscription at any time through your account settings or by contacting support. Cancellation will prevent future charges but does not entitle you to a refund for any prior payments under any circumstances, including partial billing periods. All payments are final and non-refundable. Abuse of the cancellation/reactivation system—such as attempting to repeatedly bypass payment obligations—will result in immediate and permanent termination of your account and access to the platform.
5. Modifications to Services
We reserve the right to add, modify, or discontinue any features, services, plans, or pricing at any time, at our sole discretion. While we may provide notice of significant changes, it is your responsibility to regularly review the latest version of these Terms. Your continued use of the platform after any modifications constitutes your acceptance of the updated Terms.
As a subscriber with an active plan, you are entitled to access all new features, improvements, and updates released during your subscription period—including beta features, version upgrades, and service enhancements—at no additional cost.
6. Termination & Suspension
We reserve the right to suspend or terminate your access at any time for any reason, including violation of these Terms, abuse, or misuse of the platform. No further billing will occur after termination, but you forfeit all access to your content and data. We are not required to provide advance notice or a grace period.
7. One Instance Per Organization
Each Stack Events instance is licensed exclusively to a single school, program, or organization. Cross-institutional use, unauthorized sharing of logins across unrelated entities, or any resale, sublicensing, or redistribution of your instance is strictly prohibited. Violating this policy will result in swift, permanent termination of your account and instance without notice or refund. No exceptions.
8. Account Security
You are solely and entirely responsible for maintaining the confidentiality and security of your own login credentials, as well as those of any users you authorize under your Stack Events instance (including students, staff, and other team members).
If account credentials are leaked, misused, or accessed without authorization—whether by you or any user under your instance—you are fully liable for any resulting actions, data loss, breaches, or violations of law or policy. Stack Events accepts no responsibility or liability for the consequences of compromised accounts.
Administrators are expected to implement appropriate security practices, including regularly rotating passwords, limiting access, and monitoring user activity. Failure to do so is at your own risk.
9. Platform Access & Data
By using Stack Events, you agree that we may access your instance at any time for support, troubleshooting, monitoring, or general oversight purposes. This includes proactively investigating technical issues, addressing suspicious behavior, or ensuring compliance with our policies.
We do not sell or share your data. However, we reserve the right to use content from your instance—including layouts, features, event setups, and uploaded materials such as photos or graphics—for promotional, marketing, or documentation purposes. We may request permission as a courtesy, but we are not obligated to do so. Personal student information (e.g., names, emails, IDs) is always excluded and never used in promotional material.
Your use of the platform constitutes consent to this level of access and usage.
10. Content, Uploads & Data Use
You may upload data, files, text, and media to Stack Events as part of using the platform. By doing so, you represent and warrant that you either own or have full rights and permission to use all content you upload. We do not claim ownership over your content, but you grant us a limited license to store, display, and process it solely for the purpose of delivering our services to you.
If you upload unlawful, harmful, explicit, or unauthorized content—including but not limited to copyrighted material without rights, illegal media, or anything that violates applicable laws or these Terms—your account will be permanently terminated without notice. We also reserve the right to report such content and activity to law enforcement or appropriate authorities.
11. Equipment Tracking Disclaimer
Stack Events provides digital tools to help you track, manage, and organize equipment. However, the platform does not physically monitor, locate, or recover any items. We are not responsible for any equipment that is lost, stolen, damaged, or misplaced.
It is your responsibility to use the tracking tools provided accurately and consistently. The system works if you use it correctly. Mismanagement, human error, or lack of documentation on your end is not our liability. Do not attempt to shift blame to Stack Events for lost or unaccounted-for gear.
12. Availability & Support
While we aim to maintain consistent uptime and reliable access to the platform, Stack Events does not guarantee uninterrupted or error-free service. Support is included with all subscription plans and is provided on a best-effort basis.
At this time, Stack Events is operated by a small, committed team focused on delivering timely and effective assistance. We make every reasonable effort to support you promptly and professionally. However, support availability may be limited during peak times or due to resource constraints.
Users are expected to engage with support respectfully and in good faith. Abusive, hostile, or inappropriate conduct toward support staff may result in limited support access, delayed responses, or termination of support privileges.
You are solely responsible for issues resulting from user error, improper use of the platform, unsupported file types, accidental actions, or experimentation beyond intended functionality. We may assist with resolving such issues at our discretion, but we do not accept liability for consequences arising from misuse or misconfiguration by you or users under your instance.
13. Beta & Experimental Features
From time to time, Stack Events may offer access to features labeled as “beta,” “experimental,” or “preview.” These features are not part of the core platform offering, may be unstable or incomplete, and are subject to change or removal at any time without notice. They are provided “as is” with no guarantees or warranties of any kind.
Access to beta features is not available to the general public by default. Select schools or organizations may be invited or approved to opt in. If you’re interested in participating in beta testing, you may request access by contacting us through our Contact Page.
Participants in beta programs may receive early access to new tools, design previews, or exclusive customizations in exchange for feedback and testing support. However, we reserve the right to modify, revoke, or discontinue any beta access at any time, for any reason.
14. Legal Use Only
You agree not to use Stack Events for any unlawful, unauthorized, or malicious purposes. This includes but is not limited to: uploading illegal content, violating copyright or privacy laws, impersonating others, or using the platform in connection with criminal activity.
You assume full legal responsibility for all content uploaded and all actions taken through your account or instance—including those by users under your management.
If you or anyone on your instance uses the platform for illegal activity, we will not hesitate to suspend your access, permanently terminate your account, and report the incident—and all related information—to law enforcement or relevant authorities.
15. Warranties & Liability
The platform is provided “as is” with no warranties of any kind. We do not guarantee uptime, outcomes, or accuracy. Stack Events is not liable for indirect, incidental, or consequential damages including but not limited to data loss, service outages, or revenue impacts.
16. Indemnification
You agree to defend, indemnify, and hold harmless Stack Events, its affiliates, officers, and staff from any claims, losses, or damages arising from your use of the platform or your violation of these Terms.
17. Severability
If any part of these Terms is found to be unenforceable or invalid, the rest of the Terms will remain in effect.
18. Force Majeure
We are not liable for delays or failure to perform due to causes beyond our control, including natural disasters, internet outages, government actions, or other force majeure events.
19. No Waiver
Failure to enforce any part of these Terms does not waive our right to enforce them later.
20. Entire Agreement
These Terms represent the full agreement between you and Stack Events. They override all previous agreements, written or verbal.
21. Jurisdiction
These Terms are governed by the laws of your billing region. All disputes must be resolved in the courts or legal system applicable to that jurisdiction.

23. Changes to These Terms
Stack Events may modify or update these Terms at any time, at our sole discretion, without prior notice. It is your responsibility to review the most current version periodically. Continued use of the platform after changes are published constitutes your acceptance of the revised Terms. We are not responsible for your failure to review updates. If you continue using the platform without reviewing the Terms, you do so at your own risk.
24. Privacy Policy
